GG Mentoring Inc. (GGMI) exists to provide solutions for peace of mind. In order to provide these solutions, we collect and use Client Personal Information (PI). PI is used solely for the purposes identified within our Privacy Manual, a Summary of which is presented herein. To protect PI, we have adopted CAN/CSA Q830, the Model Code for the Protection of Personal Information, as the basis for our policy. This code is a National Standard of Canada. It is incorporated in both PIPEDA (Personal Information Protection and Electronic Documents Act - federal) and PIPA (Personal Information Privacy Act - provincial). GG Mentoring Inc. Privacy Manual SummaryPrinciple One: Accountability GGMI is accountable for the protection of all Personal Information (PI) under their control. Responsibility for compliance with this Privacy Policy rests with the Privacy Officer. All inquiries about the GGMI Privacy Policy and the procedures we have enacted in order to abide by the GGMI Privacy Policy should be directed to: info@ggmentoring.com Principle Two: Identifying Purposes GGMI collects and uses PI in order to fulfill the client's requirements for an ongoing relationship. The PI is only used within the organization. A Collection and Retention schedule is in place. Principle Three: Consent GGMI has defined the required PI, its use, disclosure and accessibility. When you request we fulfill your requirements, we regard this as Implied Consent and will use your PI for the purposes identified above. We deem that consent to use your e-mail address to contact you is implied when you correspond with us by e-mail. Principle Four: Limiting Collection Only the information that is needed to fulfill the purposes described in Principle Two shall be collected. All PI is collected by fair and lawful means. The PI typically consists of name, address, telephone number, and method of payment. Principle Five: Limiting Use, Disclosure and Retention GGMI does not use PI for a purpose other than for which it was collected, except with the consent of the client or as required by law. We maintain PI files for a period of five years, at which time the inactive files are destroyed in a secure manner. Principle Six: Accuracy GGMI will make every reasonable attempt to ensure the personal information is current and accurate for its intended purposes. Principle Seven: Safeguards GGMI protects PI, regardless of its form, against loss or theft. Unauthorized access, disclosure, copying, use, or modification is prohibited. We have implemented physical, organizational and technological measures as safeguards. Principle Eight: Openness GGMI provides specific information about its policies and practices relating to the management of PI upon request. Please contact: info@ggmentoring.com Principle Nine: Individual Access Upon request, we will inform you as to whether or not we hold any PI about you. If so, GGMI will provide a detailed record of any PI, its source and how it is used. You may challenge the accuracy and completeness of any PI and have it amended as appropriate. We will respond to all Access Requests within thirty days from date of receipt of the access Request. Access Requests should be directed to: info@ggmentoring.com. Access Requests can also be made in writing to: Gail Gingras, Privacy Officer Principle Ten: Challenging Compliance Any Compliance Challenges regarding the GGMI Privacy Policy and Procedures Manual should be directed to: info@ggmentoring.com. A Compliance Challenge can also be submitted in writing to our Privacy Officer. GGMI will respond to a Compliance Challenge within thirty days. We will take appropriate measures to rectify the cause of the complaint and communicate the results of our action to you. |
